CRM Configuration — Pipelines, Forecasting & Customer Centre

About this course

Configure the CRM that sales teams actually use. Configure NetSuite CRM — sales stages, lead sources, forecast categories, quota management, the customer centre, and CRM reporting — from Awatay CRM implementation experience. 9 hrs · 3 sessions · Intermediate. Overview NetSuite CRM configuration is where most implementations get the commercial foundation wrong. Sales stages that do not reflect how the sales team actually sells, forecast categories that no one uses correctly, lead source attribution that breaks within the first month, and a customer centre that was never enabled. The result is a CRM that the sales team tolerates rather than trusts. This course is built from the Awatay CRM implementation — configuring NetSuite CRM for a professional services firm in the African market. The configuration decisions, the mistakes that were corrected, and the design patterns that produced a CRM the team actually adopted are all documented in this course. Learning outcomes • Configure sales stages, pipeline, and forecast categories that reflect the real sales process • Set up lead sources, territories, and forecast roll-up for accurate pipeline and forecast reporting • Manage quotas and build the sales manager dashboard that provides complete pipeline visibility • Enable and configure the customer centre portal for self-service customer access • Enforce CRM data quality through field validation and duplicate detection Prerequisites • NetSuite Navigation & Personalisation course • CRM in NetSuite — Leads, Opportunities & Activities course (Track A) or equivalent sales CRM experience • Basic understanding of B2B sales pipeline management Modules 1. Pipeline configuration, sales stages & lead sources (3 hours) CRM setup checklist: the features that must be enabled in Account > Setup > CRM before the module is usable. The lead-to-customer lifecycle configuration: what triggers a lead, what triggers the conversion to prospect, what triggers customer status, and how to configure those triggers to match the real sales process. Sales stage design: defining stages that reflect the actual sales decision points (not the ideal process — the real one), setting the default probability for each stage, and the forecast category that each stage populates. The five-stage trap: why most implementations default to five generic stages and why that produces a useless pipeline report. Lead sources: configuring the sources that matter for marketing attribution, the campaign-to-lead connection, and the source tracking that enables the ROI analysis. Custom fields on the opportunity record: the industry, geography, product category, and qualification fields that African B2B businesses need for meaningful pipeline analysis. Sales team configuration: primary rep, secondary rep, partner, and the commission implication of ownership. Territory setup: assigning accounts and leads to territories by industry, geography, or revenue band. Topics: CRM feature enablement; Lifecycle trigger configuration; Lead conversion rules; Sales stage design principles; Probability by stage; Forecast category mapping; Five-stage trap; Lead source setup; Campaign-to-lead connection; Source tracking; Custom opportunity fields; Sales team roles; Territory assignment 2. Forecast configuration, quota management & sales reporting (3 hours) The NetSuite forecast model: how it combines stage probability, the forecast category (commit, best case, pipeline), the sales rep manual override, and the manager adjustment to produce the forecast number that finance relies on. Forecast category design: what commit, best case, and upside mean in the context of the African B2B sales cycle, and how to configure the category definitions so that sales reps and managers use them consistently. The forecast roll-up: how individual opportunity forecasts aggregate to the team forecast, the regional forecast, and the company forecast. Quota management: entering quotas by rep, by team, and by period — the quota import via CSV for large teams, and the attainment tracking. Sales KPI configuration: the pipeline coverage ratio (pipeline divided by quota), the average deal size trend, the win rate by stage, and the sales cycle length. Configuring the sales manager dashboard: the portlets that give a sales manager everything they need without running reports — live pipeline, team activity, forecast vs quota, and deals at risk. Saved searches for sales operations: the 30-day old pipeline search (deals that have not been updated), the closing-this-month search with incomplete activities, and the lost deal analysis by competitor and close reason. Topics: Forecast model components; Forecast category definitions; Commit vs best case design; Forecast roll-up; Quota entry and import; Attainment tracking; Pipeline coverage ratio; Win rate by stage; Sales cycle length; Manager dashboard portlets; Sales operations saved searches; Stale pipeline search; Competitor analysis 3. Customer centre, support cases & CRM data quality (3 hours) The customer centre portal: what it is, how to enable it, what customers can access (order status, invoices, support cases, account information), and what they cannot. The customer centre configuration: the roles available in the customer centre, the portal customisation options, and how to make the portal look branded rather than generic. Support cases: setting up case types (billing query, technical issue, service request), priorities (urgent, high, normal, low), and the SLA rules that define the response and resolution time targets for each priority. Case routing: the workflow that assigns incoming cases to the correct team or individual based on case type, customer, and priority. Case escalation: the rule that escalates a case that has not been updated within the SLA window. The support manager dashboard: open case count by type, SLA compliance, average resolution time, and cases assigned to each rep. CRM data quality: the duplicate customer and vendor detection, the mandatory field enforcement on leads and opportunities, and the data governance rules that prevent the CRM from becoming a data dump within six months of go-live. Topics: Customer centre enablement; Portal access configuration; Customer-facing content; Portal branding; Case types and priorities; SLA rule configuration; Case routing workflow; Escalation rules; Support manager dashboard; SLA compliance tracking; Duplicate detection; Mandatory field enforcement; CRM data governance Delivery Best attended by the system administrator, the sales operations manager, and the head of sales together. The stage design and forecast configuration require business decisions that cannot be made by IT alone. Three sessions over two or three days.
