Overview
Expense management is the most universal NetSuite capability — everyone in the organisation touches it, and poor adoption has a direct cost: paper receipts, WhatsApp expense requests, email approval chains, and finance staff manually entering expenses submitted outside the system.
This session covers the complete expense management flow in NetSuite: from an employee submitting their first expense report, through manager approval, to finance processing the reimbursement. Including the project coding that matters for professional services and project-based organisations, and the corporate card matching that matters for larger businesses.

Modules
1. Expense reports, approvals & the employee centre (3 hours)
The employee centre: accessing it, what employees can see (their own expenses, leave requests, pay stubs if enabled), and what they cannot see. Creating an expense report: the header (purpose, currency, period), adding expense lines (date, category, amount, description, receipt attachment), and the rules around required receipts by expense category. Expense categories: what they are, why the right category matters for GL coding and budget tracking, and how to find the right category when unsure. Mileage expenses: entering distance, rate, and the automatic calculation. Corporate credit card expenses: how to match a card transaction that appears in NetSuite to an expense report line — and what happens when the amounts differ. Project coding: adding a project and task to an expense line for billable or cost-tracked expenses. Submitting the expense report: the confirmation, the workflow trigger, and how to track the status. The approval workflow: how the expense routes to the line manager, how to approve or return with a comment, and how to escalate a report that has been sitting too long. Finance processing: converting the approved expense report to a vendor bill, grouping multiple reports for a single EFT payment run, and recording the reimbursement. Correcting a submitted report: what to do when a report has been submitted with the wrong category or amount — who can make changes and at which workflow stage.
