Overview
The daily finance operations course that every NetSuite client needs but rarely delivers properly at go-live. Most end-user training focuses on navigation and system features — this course focuses on the job: processing a vendor bill correctly, paying a supplier on time, applying a customer receipt to the right invoice, and closing the month with a reconciled bank account.
Content is drawn directly from Awatay Finance and MIWA implementation experience — the transaction types, approval flows, multi-currency patterns, and exception scenarios that appear in real African business operations. Every exercise uses realistic African business scenarios: local currency and USD transactions, multi-entity payments, partial receipts against purchase orders.
Learning outcomes
• Enter and approve vendor bills accurately against purchase orders using the three-way match
• Process supplier payments including multi-currency transactions and prepayments
• Create customer invoices and apply receipts to the correct open invoices
• Read and act on both the AP and AR ageing reports
• Complete a bank reconciliation in NetSuite and produce the reconciliation report
Prerequisites
• Basic accounting knowledge (debits, credits, AP, AR concepts)
• NetSuite Navigation & Personalisation course or equivalent familiarity with the NetSuite interface
• No NetSuite configuration knowledge required
Modules
1. Accounts Payable — vendor bills, payments & purchase orders (3 hours)
Entering a vendor bill: the bill form, vendor lookup, line items, quantity and rate, expense account coding, tax code selection, and the GL impact preview. The three-way match: how NetSuite links a purchase order, an item receipt, and a vendor bill — and what happens when the quantities don't match. Approving a vendor bill: the approval workflow, who the approver is, how to approve or return with a comment. Partial bills: receiving a bill for a partial delivery against an open purchase order. Payment processing: selecting bills for payment, the payment form, the bank account, the payment method (EFT, cheque, bank transfer), and applying a vendor credit against an outstanding bill. Vendor prepayments: creating a prepayment, applying it to a future bill, and the balance sheet treatment. Multi-currency AP: entering a USD bill when the functional currency is MUR — the exchange rate, the expected GL impact, and what to do when the payment rate differs from the bill rate. The AP ageing report: reading it, drilling to source transactions, and identifying overdue bills before a supplier calls.

2. Accounts Receivable, banking & the daily reconciliation (3 hours)
Creating an invoice: the customer lookup, line items (service items versus inventory items), quantity, rate, tax code, and the payment terms that set the due date. Invoice from a sales order: how to bill a fulfilled sales order and why the invoice inherits the sales order data. Receiving a customer payment: the payment form, selecting the open invoices to apply the payment against, handling overpayments (customer credit memo), and handling underpayments (partial payment and the remaining balance). The AR ageing report: what it tells you, how to drill to the invoice, and how to use it to prioritise collection calls. Customer statements: generating and emailing a statement to a customer. Bank account management: recording a bank deposit (grouping multiple customer receipts into one deposit), a bank transfer between accounts, and petty cash disbursements. Bank reconciliation: opening the bank reconciliation form, matching cleared transactions to the bank statement line by line, identifying reconciling items (timing differences, bank charges, unrecorded transactions), and completing the reconciliation. The reconciliation report: what to keep for audit evidence.

Delivery
Best delivered as two back-to-back 3-hour sessions on consecutive days, allowing participants to practise session one content before session two. Groups of 8–15 are ideal — finance teams rather than mixed-function audiences. On-site delivery on the client's own NetSuite account is recommended so participants practise on their actual system.
