The chart of accounts was designed for a trading business, the budget tracking cannot separate restricted from unrestricted funds, and the donor financial report requires a format that no standard NetSuite report produces. This course addresses those gaps with configuration approaches drawn from real African NGO and development sector NetSuite implementations. Fund accounting using NetSuite's class and department dimensions, grant management via the project module, procurement compliance workflows for donor requirements, and the audit evidence package that satisfies a Big Four external donor audit. Fund accounting, grant management & donor reporting (3 hours) Fund accounting in NetSuite: why NetSuite is not a native fund accounting system and why that does not prevent it from being used effectively for NGO finance. The class dimension as the fund: configuring NetSuite classes to represent each donor fund (USAID Health Fund, EU Climate Programme, Gates Foundation Education Initiative), and enforcing class tagging on every transaction to maintain fund segregation. Restricted versus unrestricted funds: the configuration that prevents a restricted class code from being used on a transaction that belongs to the unrestricted general operating fund — the workflow validation approach. Grant management via the project module: setting up each grant as a NetSuite project, the grant budget by expenditure category (the project task as the budget line), and the project-to-class link that ensures grant expenditure reports and fund reports reconcile. The grant financial report: the saved search and workbook configuration that produces the financial report in the format a specific donor requires — USAID SF-425, EU Financial Statement, FCDO Annual Review format. Multi-donor programme management: when a single programme is funded by multiple donors with different reporting periods and different eligible cost categories — how to structure the project and class hierarchy to produce separate donor reports from the same set of transactions. Procurement compliance, in-kind contributions & audit preparation (3 hours) Procurement compliance in NGO finance: most donor agreements specify procurement thresholds (obtain one quote below $1,000, three quotes between $1,000 and $10,000, tender above $10,000) and documentation requirements. Configuring NetSuite's approval workflow to enforce these thresholds: the purchase order approval workflow that routes based on the PO amount to the appropriate approval level. Three-bid documentation: using NetSuite's vendor record and purchase order note fields to document the competitive procurement evidence, and the custom field on the PO that confirms procurement policy compliance. In-kind contributions: how to record donated goods (equipment, food, materials) and donated services (volunteer time, pro bono professional services) in NetSuite in a way that is auditable and reportable for the donor. The in-kind income and in-kind expense accounts that produce the correct gross presentation on the donor financial report. Foreign exchange for NGOs: managing a grant received in USD when programme expenditure is in local currency — the exchange rate used for conversion, the forex gain or loss that arises from rate movements, and how to present this in the donor financial report. The external audit evidence package: the NetSuite reports and audit trail evidence that support a Big Four external audit on behalf of a major donor — the transaction listing, the budget versus actual by grant, the procurement compliance evidence, and the bank reconciliation.
