Overview
NetSuite PSA connects the delivery of professional services to the billing, costing, and revenue recognition that make the business financially viable. When PSA is used correctly — projects set up with the right billing schedule, time entered against the right tasks, expenses coded to the right project — the project invoice is accurate and the profitability is visible. When it is not, billing disputes, revenue leakage, and opaque project margins follow.
This course is built directly from Awatay PSA implementation experience — a real professional services organisation using NetSuite PSA for consulting project delivery, HR, CRM, and finance. Every exercise uses the scenarios that matter: entering time on a fixed-price engagement where billable hours track to a milestone, logging a travel expense against a client project, and reading the profitability report that tells the practice director whether the month was good or bad.

Modules
1. Project setup, tasks & the project plan (3 hours)
The project record: the fields that matter for billing and costing — project type (time and materials, fixed price, cost plus), customer link, billing schedule, and project manager. Project types in practice: a T&M project bills every approved hour; a fixed-price project bills at milestones regardless of hours spent — and why the project type choice fundamentally changes the financial risk profile. Project tasks: creating the task hierarchy (phases, tasks, sub-tasks), assigning resources to tasks, and setting planned hours. The project plan view: reading the gantt, adjusting task dates, and understanding why tasks that look optional in the plan are often critical to billing. Project templates: how to use a standard project template so that new engagements start with the correct structure without re-entering it every time. Project budgets: entering the planned hours and cost by task and resource, and the planned revenue by billing milestone. The project dashboard: the completion percentage, the budget versus actual cost, the billing milestone status, and the project health indicator.

2. Timesheets, expenses & project billing (3 hours)
The timesheet in NetSuite: the weekly timesheet view, adding a time entry (project, task, service item, hours, date, notes), the validation rules that prevent incorrect entries (wrong project status, unassigned task), and submitting the timesheet for approval. The approval workflow: how the timesheet routes to the project manager, how to approve individual lines or the full timesheet, and how to return a timesheet with a comment. What happens to approved time: the time appears in the billing review, the cost posts to the project cost account, and the resource utilisation updates. Project expenses: how to add a project and task to an expense report line, the billable versus non-billable classification, and how approved project expenses appear in the billing queue. Project billing: the billing review — viewing all approved time and expenses ready to invoice, marking items as non-billable when necessary, adding a fixed-fee milestone line to the same invoice as T&M charges, and generating the project invoice. The project invoice format: what the client sees (time by consultant and task, or a single project fee), and how to choose the right level of detail. Resource management: viewing your own utilisation, the resource availability report for project managers, and how to raise a staffing request when additional resources are needed.
