Saved Searches, Reports & KPI Dashboards for Business Users
HRDC Claimable
About this course
Get the data you need — without calling IT.
Build saved searches, customise financial reports, and create KPI dashboards in NetSuite — no developer access or technical background required. 6 hrs · 2 sessions · Foundation.
Overview
NetSuite's reporting and search capabilities are among its strongest features — and among the most underused. Most organisations use the standard reports and live with their limitations, unaware that any user can build a custom saved search in minutes, create a modified financial report in under an hour, or build a KPI dashboard that updates automatically every time they log in.
This course unlocks those capabilities for business users. No SuiteScript, no developer access, no IT request. By the end of two sessions every participant has built at least three saved searches, modified a standard financial report, and configured a role-appropriate dashboard — using their own organisation's data in a live NetSuite sandbox.
Learning outcomes
• Build saved searches that surface the records and data you need for daily work
• Create summary searches that replace manual Excel pivot tables
• Run and customise standard NetSuite financial reports for your subsidiary and period
• Build a role-appropriate KPI dashboard that updates automatically each session
• Schedule reports and searches to deliver data to stakeholders without manual intervention
Prerequisites
• NetSuite Navigation & Personalisation course or comfortable navigating the NetSuite interface
• Basic familiarity with the record types in your function (invoices, bills, employees, items)
• No programming or technical background required
Modules
1. Saved searches — building the queries that run your daily work (3 hours)
What a saved search is and when to use it versus a standard report: the search finds records, the report aggregates them. The saved search builder: choosing the record type (transaction, customer, vendor, employee, item), setting criteria (filters), choosing results columns, and sorting. Single-criteria searches: all invoices over 30 days overdue. Multi-criteria searches: all open purchase orders for a specific vendor in the last 90 days. Date range parameters: using relative date ranges ("last month", "this fiscal quarter") so the search always shows current data without editing. Joining related records: adding the customer name and credit limit to an invoice search, or the vendor payment terms to a bill search. Summary searches: grouping by account and summing the amount — the search that replaces the manual pivot table. Running totals and counts. Sharing saved searches: making a search available to your team, adding it as a dashboard portlet, and scheduling it to email results as a CSV attachment every Monday morning.
Topics: Record type selection; Criteria and filters; Results columns; Date range parameters; Relative dates; Joining related records; Summary searches; Group by and sum; Portlet setup; Email scheduling; Sharing with team
2. Financial reports, KPI dashboards & the report builder (3 hours)
NetSuite's standard financial reports: profit & loss, balance sheet, cash flow, trial balance, and the aged receivables and payables reports. How to run them: selecting the subsidiary, the date range, the comparative period, and the accounting book. The report builder: opening a standard report in edit mode, adding a filter (department, class, location), adding a comparison column, changing the date grouping (monthly versus quarterly), and saving the custom version under a new name. Financial report snapshots: adding a report result as a portlet on the home page so the P&L summary is visible without running the report. KPI scorecards: choosing KPIs from the available list, setting a target, and adding a trend arrow. Building the daily operations dashboard: a saved search portlet showing today's invoices due, a KPI showing open AR balance, a report snapshot showing the current month's revenue, and a shortcut portlet for the three transactions the user processes most. Publishing a dashboard to a role: how a manager can push a configured dashboard to everyone in their team without requiring each user to configure it themselves.
Topics: Standard financial reports; Subsidiary and period selection; Comparative columns; Report builder; Custom report saving; Report snapshot portlets; KPI scorecard; Target setting; Dashboard assembly; Role-level publishing; Scheduled reports
Delivery
Suitable for a mixed-function group — the skills transfer across departments regardless of the record type used in exercises. Most valuable when delivered after the function-specific training (financial transactions, inventory, CRM) so participants have a data context to build searches against. Groups of up to 20.
