Overview SuiteFlow is NetSuite's built-in workflow automation engine. It enables system administrators to automate approval chains, send email notifications, update field values, create follow-on tasks, and trigger actions based on record state changes — without writing any code. Most NetSuite users rely on manual email processes for approvals that SuiteFlow could automate in a single afternoon. This course teaches SuiteFlow from the ground up — from the simplest single-step approval workflow through to complex multi-branch workflows with conditional logic, scheduled actions, and custom email templates. By the end of three sessions every participant has built and tested at least five working workflows covering AP, expense, purchase order, and leave approval scenarios common in African organisations. SuiteFlow fundamentals — states, actions & transitions (3 hours) What SuiteFlow is and what it is not: the workflow engine that automates record-level processes in NetSuite, distinct from SuiteScript (code-based automation) and SuiteBuilder (custom fields and forms). The workflow architecture: states (the stages a record passes through), actions (what happens in each state), and transitions (the conditions that move a record from one state to the next). Creating the first workflow: the workflow record, the record type it applies to, the trigger event (record creation, field change, scheduled), and the run-on-create versus run-on-update distinction. The approval workflow pattern: an AP bill approval with three states (pending approval, approved, rejected), two actions (send email notification, update a custom status field), and two transitions (approve button click, reject button click). Workflow context: when the workflow runs (UI only, from CSV import, from web services) and why context matters for testing. The workflow log: how to see exactly what a workflow did, in what order, and at what time — the debugging tool that makes SuiteFlow manageable. Conditional logic, multi-level approvals & email templates (3 hours) Conditional transitions: the transition that fires only when a specific condition is met — approve only if the amount is below $5,000, escalate only if the record has been in a state for more than 48 hours. Multi-level approval workflows: the three-tier purchase order approval (department manager below $10K, finance director $10K–$50K, CFO above $50K) — how to build this with a single workflow using conditional transitions rather than three separate workflows. Parallel approval: approvals that must be obtained from multiple approvers simultaneously before the record can proceed. Role-based approval: how to make the approval route to the person who holds a specific role rather than a named individual — so the workflow does not break every time staff change. Email notification templates: creating a custom email template that includes dynamic fields (the vendor name, the bill amount, the due date, a direct link to the record in NetSuite) so the approver can act from the email without logging in. Rejection and return-to-submitter logic: how to route a rejected record back to the originator with the rejection reason, allow them to correct it, and resubmit without creating a new record. Scheduled actions, field updates & workflow governance (3 hours) Scheduled actions in SuiteFlow: actions that fire not on a user event but on a time schedule — sending a reminder email 3 days before an invoice is due, updating a field 30 days after a case is closed, escalating an unapproved expense report after 5 business days. The scheduled action configuration: the time basis (days from record creation, days from a date field, on a specific day of the week), the recurrence, and the stop condition. Field update actions: using a workflow to automatically populate a field based on a trigger — stamping the approval date when an approver clicks approve, calculating a due date when a record is created, setting a status field based on the result of an approval decision. Custom buttons and approval actions: adding a custom approve and reject button to the record form so approvers can act directly on the record without finding a workflow task. Testing workflows: the workflow testing approach — creating test records, stepping through the workflow states manually, using the workflow log to verify each action fired correctly, and the sandbox versus production deployment sequence. Workflow governance: version control for workflows (NetSuite does not provide it natively — the approach of documenting each workflow change in a change log), the workflow naming convention that keeps the workflow library maintainable, and the access control that prevents non-administrators from accidentally editing a live workflow.
